How to Automate Restaurant Bookkeeping with Fortnox Integration

This is slow, error-prone, and takes time away from actually running the restaurant. A single typo in a journal entry can take hours to track down during reconciliation.
What a Fortnox POS integration should do
A proper integration between your restaurant POS and Fortnox should handle three things automatically:
1. Nightly Z-report sync
At close of business, the POS should compile the Z-report and push it to Fortnox as a verified journal entry (verifikation) under the F-series. The entry should include:
- Total sales broken down by payment method (cash, card, Swish)
- VAT breakdown for each rate (25%, 12%, 6%)
- Returns and refunds
- Net total for the day
This kills manual double-entry entirely. You close the day in the POS, and the books are updated.
2. Online vs. physical sales separation
If you offer online ordering (pickup or delivery), those sales should be segregated from physical POS sales in Fortnox. Both post to the F-series, but online orders should be tagged separately, usually with a different cost center or project code.
This separation makes it easy to:
- See exactly how much revenue comes from online vs. in-store
- Reconcile online payment processor payouts (e.g., Worldline Checkout)
- Figure out if your online channel is actually profitable
3. Salary-ready shift exports
Staff shift hours, break deductions, and card tips should be exportable to Fortnox Lön in a payroll-ready format. That means:
- Clock-in and clock-out times from the POS
- Automatic break deductions based on shift length
- Tip pooling calculations (card tips split per your rules)
- Export format that works with Fortnox Lön import

Setting up the integration
To connect BeställNu to Fortnox, you need:
- An active Fortnox account with Accounting (Bokföring) and optionally Payroll (Lön)
- A BeställNu account with the Fortnox integration enabled
- Authorization via Fortnox's OAuth flow (we handle this in the backoffice)
Once authorized, you map your POS payment methods to Fortnox accounts (e.g., Swish to account 1510, Card to 1511, Cash to 1930). After that, the sync runs automatically every night.
What about other accounting software?
If you use something other than Fortnox (e.g., Visma, SpeedLedger), the same principles apply, but the integration might not be as smooth. BeställNu currently focuses on Fortnox because it is the most widely used accounting platform among Swedish restaurants.
