Split Payments in Restaurants: Best Practices

You know the scene. A table of six finishes dinner. The server drops the check. Then comes the question: "Can we split it?"

What follows is either a smooth 90-second process or a 10-minute ordeal involving mental math, three payment apps, and someone saying "I will just Venmo you later" (except this is Sweden, so it is "jag swishar dig"). The difference between those two outcomes is your POS.

This article covers how to handle split payments without losing your mind, the two ways to split a bill, how to mix payment methods, and how BeställNu makes the whole thing fast.

Why split payments matter

Split payments are not a niche feature. In Sweden, they are a daily reality for almost every restaurant. Groups of friends, colleagues on lunch, families - everyone wants to pay their share. And since Swish is everywhere, the expectation is that anyone can pay their exact portion instantly.

If your POS makes splitting hard, here is what happens:

  • Slower table turns: A 10-minute checkout means the table is occupied 10 minutes longer. On a busy night, that is lost revenue.
  • Server frustration: Nobody likes doing arithmetic at a table while guests wait.
  • Rounding errors: When people split by rough estimates, someone always overpays or underpays. That creates awkward moments.
  • Tips get lost: If splitting is painful, guests just want it over with and skip the tip.

The two ways to split a bill

There are two main approaches, and a good POS should support both.

1. Split by item

Each guest pays for exactly what they ordered. This is the most precise and the most common request in Sweden.

Example: A table of four. Person A had a burger and a beer. Person B had a salad and a water. Person C had a steak and two glasses of wine. Person D had a pasta and a coffee. Each person pays for their own items.

2. Equal split

The total is divided equally among the group. Simple, fast, no item-level tracking needed.

Example: Total bill is 1,200 SEK for four people. Each pays 300 SEK.

This is great for groups who do not care about who had what. It is fast. The downside is that the person who had a water subsidizes the person who had three glasses of wine. But among friends, that often gets sorted out later.

Mixing payment methods

Here is where a lot of POS systems fall apart. A table wants to split the bill, and they want to pay with different methods: one person pays with Swish, two pay with card.

  1. Open the check and choose how to split (by item or equal split).
  2. For each share, select the payment method: Swish or card (Worldline/Bambora/Samport terminal).
  3. Process each payment in sequence. For Swish, the POS displays a QR code on screen - the guest scans it with their phone and confirms the payment. For card, the amount is sent to the terminal and the guest taps, inserts, or swipes.
  4. The check closes when all shares are paid. The POS tracks the remaining balance after each payment.

The key is that you do not have to close the check in one transaction. You can process partial payments, switch methods, and the POS keeps track of what is left.

Swish-specific tips

Swish is the dominant payment method in Sweden, and it has a few quirks worth knowing:

  • Swish per person works best: Instead of one person collecting everyone's share and making one Swish payment, each person can Swish their own portion directly through the POS. The POS displays a QR code for each share - the guest scans and pays. This keeps the audit trail clean and matches the control unit records.
  • Swish + card on one check is fine: The POS handles the split. The control unit logs each payment method separately.
  • No amount entry needed: The POS pre-fills the exact amount for each Swish payment. The guest just scans the QR code and confirms - no risk of paying the wrong amount.

Tips for faster checkout

Even with a great POS, there are things your staff can do to make splits faster:

  1. Ask about splitting early. When dropping the check, ask "Will this be together or separate?" before walking away. It saves a return trip.
  2. Default to split by item for groups of 3+. Most groups want to pay their own. Offer it first.
  3. Have the Swish QR ready. The POS generates a Swish QR for each share - the guest scans and pays. No phone number entry, no typos.
  4. Train staff on the split screen. It takes 5 minutes to learn and saves hours over a month. Make sure every server knows the two split modes.

Common questions

Can I split an online order?

Online orders from your bestallnu.com page are prepaid, so splitting is not typically needed. But if a guest calls to modify, you can refund and re-charge from the POS.

Does splitting work with the control unit?

Yes. Each payment in a split is logged separately by the control unit with its own control number. A split check with four payments generates four control entries.

Can I split a bill after it is closed?

It is much harder. Split before closing. Once the check is closed and sent to the Z-report, you are looking at a refund and re-ring. Train staff to ask about splitting before they close the check.
